ICAI Exams: Online Application

ICAI has revamped its online application website and provided all necessary information in a proper well designed manner. So, one should head straight over to http://icaiexam.icai.org/

Online Application Summary

1) Application Page is at: http://icaiexam.icai.org/

2) One should have Internet Banking Facility or Debit Card or Credit Card. Only 16 digit card would work. The card can be Mastercard or VISA. One can also use other person’s (like ones Dad’s or relative’s) Card or Internet Banking facility.

For Nov 2011 Exams, there is NO facility to pay by Internet Banking. Only Debit / Credit Card can be used. What Kind of Card Acceptable?

3) It takes only ten minutes to fill the form. But one should be careful not to make mistakes.

4) One should NOT open multiple browser windows for the the application process. ie. one should complete the process only on one browser window.

5) ICAI can use external service provider for processing of exam fees online – so dont get confused if the payment page shows you are paying fees to someone else other than ICAI !

Some important points in short:

1. Online Exam Form can be “SAVED” on the ICAI system and student can later login to update or make correction. The form gets finalised only when payment is made

2. If you have registered and not received password try out http://icaiexam.icai.org/forgotpassword.php. If that does not work, contact ICAI Help Desk at 18603450112 (for users of BSNL/MTNL lines) or 0120-3054851, 3054852, 0120-3054853

Attestation

3. Attestation: Photo and signature and data on the on-line form has to be attested by a member of the Institute or your Principal in the case of PCE and Final candidates. However in the case of IPCE candidates, it may be got attested by a Gazetted Officer also.

Refund

4. Refund: Refund of fees paid more than once is automatically refunded within 45 days of last date of application. If any student does not get refund within 45 days, s/he should apply to exam dept within next 15 days along with evidence.

Applying Online for CA Exams

For the CA Exams (Chartered Accountant related exams – CPT/ Inter/ Final) ICAI provides the option of filling the exam application form online.

I was initially quite apprehensive of filling the exam form online. In India, the controls being still not upto the mark, it still becomes quite problematic to get refunds if there is some problem in a transaction not going smooth.

However, I decided to fill the form online. To do this, one has to access ICAI online application page.

(Update: For CPT, ICAI has started a separate CPT application page)

Registering for Online Application

Initially one has to register. The fields include the registration number. The name field is automatically fetched from the database of the ICAI. The validating field is the date of birth. Then one has to fill one’s email address. This would be the email address which is used for communication by the ICAI relating to the exam application form.

ICAI then sends the login id and password for accessing the application page. This is sent instantly.

Procedure for Applying Online

1) Just as you login, there is a screen that says that keep your credit card ready! One has to click on the acceptance of terms and conditions.

2) On acceptance of the terms, one is taken to the page of the actual application form. This is quite similar to the ‘verification form’ of the manual application. Many fields are auto fetched from the database of ICAI. The fields relating to registration number and name is not editable. However, the fields relating to father’s/husband’s name and address is editable.

There are certain other details like previous appearance, exemption etc. which one has to fill. Some of these are drop down menus while others are editable fields. However these detail one has to fill and these are not fetched from the ICAI database.

3) When one has filled the form, one has to pay the fees.

4) Thereafter on clicking the link, one is taken to the fees payment page. The amount of fees is ‘inclusive’ of the form charges – which one would have paid if s/he would have purchased manual application form from ICAI.

5) Currently ICAI accepts payment through Credit Card and Debit Card only.

Although ICAI says that one has to pay using Credit Card and internet banking through certain specified banks – actually there are three options in the actual payment page. It prompts one to chose from three payment gateways:

A) ICICI Bank Payseal Gateway
B) Payment through direct debit (internet banking) from certain Banks
C) Axis Bank payment gateway.

The (A) and (C) option is basically for payment through cards. However, one can also pay through Debit Card. (Wherever ICAI says Credit Card – it also means Debit Card). It is unfortunate that ICAI does not say this in its instructions page.

In my experience with online transactions both ICICI and Axis bank payment gateways allow payment through both credit card and debit card.

(Update Feb 2010: Currently the site shows only two payment options: (1) Credit Card (2) Internet Banking of certain banks. Credit Card also means Debit Card – and the payment gateway is that of Axis Bank)

I choose to pay through Axis Bank Gateway, using my debit card.

(Two things I would say here:

a) Through these two payment gateways – one can pay using 16 digit VISA or Mastercard – whether it be debit card or credit card.

b) When I applied, the home page of ICAI also had the option to pay through internet banking facility of specified banks – which among others also named Bank of India (BOI) – but in actual payment page – the name of BOI was missing! – Initially I had planned to pay through BOI internet banking facility. But as that was missing and in the actual payment page – I found that the card payment was through the ICICI and Axis payment gateways, I paid through my VISA Debit Card)

6) On successful payment one is transferred to the ‘successful payment / authorisation’ page. Here there are options to download / print the application form.

And thats it. The whole process takes barely ten minutes – considering that one has to be careful of the details that one has filled in the form – as in the online application there is no way of rectification.

7) If one again login to ones account, there is only the link to download the filled in application form.

8 ) Thereafter one has to send the hardcopy of the application with ones photograph and attested by principal/member to the specified address of ICAI

If Mistake Occurs

If some information have been wrongly filled in the online form, ICAI permits correction in hard copy of the form in RED ink along with a covering letter stating this correction. However, it is advisable that the student fills the form carefully and do not make any mistake and in case of problem check the latest from ICAI exam help line

UPDATE w.r.t Correction

ICAI Exam FAQ at http://icaiexam.icai.org/faq.php clearly states the following:

27. Incorrect particulars are appearing in the PDF. What do I do ?

The PDF reflects what is filled up. request to be careful while filling and saving the form. you can highlight the area wrongly entered/appearing in the PDF and mark the correction without disturbing any other area.

also attach a signed application quoting the registration number and control number intimating the correction required. this is only for such case where centre/group are not wrongly entered hence pl do not take is as general correction procedure.

One may however remember that the best way to highlight is by red ink. (see the screenshot)

The above would also mean that ICAI Exam Dept does not consider things like Exam Center and Group to be attempted as a mistake. So be careful when you fill form

What Kind of Card Acceptable?

1) The fees can be paid either through Debit Card or Credit Card. Often in India, the Debit Card is also known as ATM card. However, such cards to be able to do transaction must fulfill the following criteria:

2) These cards are issued by any Public or Private Banks in India and has the logo of either VISA or MasterCard.

3) These eligible cards are 16 digit card. (So SBI 19 Digit Maestro card will not work.)

4) Such cards also have a Valid From and a Valid To month imprinted on them.

5) And such card would have a three digit CVV number mentioned at back of the card.

6) If your card has all these features, it can be used for making online fee payment to ICAI. One thing to remember is that ICAI can use any of the payment gateways for card payment. Such payment gateways in India are provided by Axis Bank / ICICI / HDFC / CitiBank. As such ICAI has been using the Axis Bank payment gateway for card payments. That does not mean that your card needs to be from Axis Bank !

Few things to remember

1) Apart from as advertised on ICAI website – One can also pay through Debit Card.

2) If you are using internet banking payment option then preferably use Internet Explorer browser for internet application process of ICAI – because some banks’ websites use only internet explorer – and do not allow other browsers for internet banking transaction.

3) Fill your forms properly – keep all the data in front of you before you start the process. There seems no method to rectify any mistake later on.

4) ICAI now provides clear disclosure, and has also made Guidance Notes for Final / IPCC / PCC students for online application for exams

ICAI provides no disclosure as to what would happen if something goes wrong in the process – so be careful. the following disclosures:

(13) Refund of Fees: The fee once paid by a candidate shall not be refunded/adjusted under any circumstances and no correspondence in this regard shall be entertained. However failure in electronic transmission, double payments, lost transaction (after payment) will be considered for refund provided the request is received within 60 days of the last date of submission of the form for which you may write to…(the helpline)… alongwith the credit-card/Net-banking statement showing these transactions.

(14) In the event of furnishing any wrong information / declaration, the admission shall automatically become invalid.

5) The whole process only facilitates payment and transmission of data to ICAI. So it saves you from going to ICAI branch to get application form and going to bank to get a DD. (It saves you application form money and DD commission – but does not save you application form money or the speed post charges!)

6) The whole process only facilitates your application process (the final page says – “Your application has been saved successfully” – it does not say that you have applied!. This application process is complete only when you send the hard copy with your photograph and signed by CA. So, if you dont send the hard-copy you have not applied – eventhough you have already paid the exam fees!

ICAI online application page: http://icaiexam.icai.org/ now provides for “Guidance Notes” for application online to the different exams conducted by ICAI.

Update June 2010: Waiver of Exam Application Form fees for online application for exams: For the Nov 2010 exams, ICAI has waived the Exam form fees, if the application is submitted online. Hopefully this trend will continue in future also.

Update July 2010: From May 2011 exams, the exam form has to be submitted online only, as the institute is doing away with the OMR application form. (Source: CA Journal July 2010)

Update Jan 2011: ICAI is still providing the option of OMR application form for the May 2011 exams. However for Finals, the OMR application fee is Rs. 500 (for others its Rs. 100). If one applies online, the application form fee is waived.

    dear sir.i m a student of cpt attempt dec..18…i filled online forum ..but mistakenly the address written where the admit card wil later be posted was wrong…..so m in trouble what should i do and…plz help me sir.

  2. I changed my name and gave the proof for registration.
    I am registered with the new name but my father’s name is incorrect.
    Can I fill the examination form with correct father’s name or should I continue with the wrong name for this time as the last date is drawing very near?
    The field of father’s name is editable in the online examination form unlike candidate’s name.I fear that my form may get rejected because then my father’s name won’t tally with the institue’s records.
    Please reply urgently.

      You can change that without any problem. There is nothing to fear. Correct your Dad’s name in the exam form by yourself.

      Also send a separate letter to your Regional Office writing that you find that your father’s name is incorrectly mentioned in records of the institute (no need to mention the source of ICAI exam – but if there is any other document like registration letter etc where such mistake is there then you can attach that) and attach proof like 12th marksheet or any other document (even copy of Form 103 would suffice) and request them to correct that.

    I was apply for Nov 11 IPCE exam, my name was incorrect entered, now how can I correct it. what is the format of application form…pls reply soon.

      Write an application on a plain paper as to what correction you need, and attach proof – photocopy of 10th / 12th certificate, preferebly certified true copy by some CA. And send this letter to your regional office.

      The text of the letter can simply be:

      “I find that my name in your records is …………………..

      However, the correct spelling of my name is…………………

      I am attaching certified true copies of the following documents as proof:

      1.
      2.

      Request plz correct my name in your records”

      You can after few days follow this up through phone and also e-sahayata http://www.icai.org/help When they confirm it on e-sahayata that your name has been corrected, then that is sort of written proof that your request have been processed.
